Bridal Blurbs: Why You Need an Efficient Wedding Coordinator for Your Wedding

When my husband and I got engaged, we knew more or less what we want done on our wedding day. We just needed someone to help us put these ideas together to make our big day uniquely our own in an organized manner. Not only did we ask around for recommendations, we also researched and considered our preferences in searching for THE dream team.

Prior to meeting our coordinator, my husband and I sat down and discussed our non-negotiables as a couple, and individual preferences for our big day. We also pooled ideas from family members, friends, and previous weddings we attended to know what we like (and we don’t like) for our wedding and the after party. As soon as we were settled, we discussed our inputs with our wedding coordinator.

We booked an on-the-day coordination because we took charge in booking and dealing with all our suppliers. Yes, we planned our wedding during lunch breaks, down times in the office, after work, and during the weekend, and had the coordinator run the show. It was tiring but it was all worth it! I know a couple who opted to hire a coordinator to help them with some of the planning, and there’s this one friend who hired a full-time planner because they are based overseas.

Still debating whether to get a wedding coordinator? Let me convince you:

  1. Experienced coords know what’s good for you

An experienced wedding coordinator will talk sense to you. He/she will throw you no BS and will not sugarcoat their opinions simply because they’ve done a million weddings and have seen the best and the worst. When I wanted a certain type of game on our wedding day, she discouraged me because it will not engage the crowd. Instead, she suggested another game that is a whole lot better and much more fun!

  1. They will help you to get things done

Because they have done a hundred weddings, efficient wedding coordinators have a very detailed checklist of essentials you need months before your wedding. They will even have a laundry list of items you need to prepare come actual day like things to bring in the church and reception. Sometimes all you and your fiance should do is to comply to these lists so that your wedding will run smoothly—and this is important, by the way, because even the most veteran coordinator may not be able to execute what you want for your big day if you don’t help the team, so do your part, coordinate early and efficiently with them months before the wedding!

  1. Their bridal resource network are vast

Still lack suppliers? Maybe they can recommend. Five months into the preps, my then-fiance and I were starting to worry because we still cannot find a budget-friendly tailor to make my groom’s suit. I asked our coordinator for leads, and she reverted with a few names. And because they have worked with a lot of suppliers already, they will not have a hard time dealing with them!

  1. They know what to do come wedding day

During our wedding day, our events team ran the show like how we discussed on our pre-event meetings. We didn’t need to worry about anything at all! My husband and I also dispel the myth that newlyweds aren’t able to enjoy their first meal because they are busy with things that need to be done during the reception. Efficient coordinators also know how to handle crisis come D-day. I have a friend who left their garter in their hotel room, good thing their coordinator has an extra one on his kit. Another friend and her husband got stuck in traffic on the way to the reception. Their coordinator brought out the bride’s flip flops so they could sprint to the hotel. I brought a tumbler with a cold drink because I knew I would get thirsty before walking down the aisle, and I completely forgot that sipping direct on my tumbler will ruin my perfectly-shaped lips! My bridal manager pulled out a straw from her kit and assisted me while drinking from my tumbler—life saver!

Why you should make your coordinator your wedding best friend

Next to your groom, family, entourage, and close friends, your coordinator will never, ever, want your wedding to fail! But as I have addressed it a few paragraphs back, your event’s success will also rely on how timely you and your fiance(e) will turn over things and update your team so your wedding will run smoothly. Some things may not turn out the way you and your partner want it, but know that your dream team will be on top on things so you can enjoy your first few hours as Mr. and Mrs.!

And so he reminded all suppliers to be focused on honesty and on focusing on the client and making sure you can deliver everything that you have promised.

Ms. Benz followed-up with the story that the W@W Awards trophy was fulfilled by Ronald and his team during the third year since its inception since they could not find the artist who made the design of the trophy. He confessed that his secret to his staying power in the industry is their passion. He said the reason why he and his team were able to survive for 19 years is because their passion for the work never waned. Dylan recommended that it would be best to take a page out of Kaye’s book by continually improving what suppliers offer. He also said that what worked in the past may not be relevant today. He touched on a significant point which is, as suppliers, we shouldn’t necessarily look at each other’s work because there’s a tendency to copy. It was one of the few things that suppliers struggle with especially since Facebook has become an everyday part of everyone’s lives. He supported this analogy by saying that if you worked on your business with the perspective of a manager, you will not have a problem listening to clients. Most of the time, when an owner is presented a complaint or a concern, he or she does not have the time to listen to it. However, managers always listen because they are in charge of managing both employees and customers. He also touched on a very important point wherein he gave credit to God as the owner of their business and thus needs to listen to what He wants for us as business owners.

It was so fun that we decided to organize another WaWie Dinner tonight! Meanwhile, here’s Jezalin Panaligan to tell you the story of what happened during the first one.

 

What do you get when you bring together eight soon-to-weds, the woman behind W@W, and three of the most reputable suppliers in the wedding industry together in one dinner table? Six straight hours of spontaneous conversations, endless laughs and extremely valuable new learnings.

I was one of the lucky few who got a seat at that table. I joined the WaWies Facebook group exactly one month after getting engaged. One of my best friends who got married invited me to be part of the group. The group is overflowing with helpful topics from brides-to-be and even those who already “graduated.” One lucky evening, Mimma Benz posted an invite for a casual dinner with Jason, Madge, and Veluz. Seeing the opportunity to get to know fellow WaWies and hearing tips from the suppliers themselves, I reserved a slot.

We were told that it was going to be a casual dinner, we brought potluck desserts and snacks as Madge prepared the full-course dinner for us (I am seriously craving the salted-egg pasta as I type this! Hi MADGE!) but just a little over an hour before our planned meet-up time, Mimma shared photos of the set-up wonderfully curated by Ernest of Bespoke Manila. It suddenly leapt three notches higher with the fancy centerpiece, menu cards, and personalized place cards with gifts for each of the attendee. “Over all experience was for me as a bride it was fun seeing and hearing from them in and outside of their element. And it was fun knowing that they were open to listen to our views as well. At the end of the day both parties want to enjoy and experience the “best day ever”. For the supplier it’s not just about making money but I saw the amount of passion they put in their area of expertise. Thom was one of the participants of the PPAP dance during the W@W annual party held the week before the wedding. The thing that struck me most that night was when we asked Veluz what the most important thing is in a wedding, and I was surprised when she said makeup. Obviously, I thought she was going to say the gown! I’ve learned that it doesn’t matter even if your gown is couture, if your make up is wrong, you will look wrong. And thanks to their advices, I also now know not to color my hair blonde (I used to be and I was thinking of bleaching it again for my wedding) as it will ruin the whole look.   • Nothing should stick out from your gown. If any part of your body stands out too much (boobs, butt, etc) then it’s probably not a good fit. Should not be “Wow ang ganda ng <part of the body> mo jan!” but rather, “Ang ganda mo. Period” — same goes for makeup. Not too harsh contours or eyebrows that it pops up.
  • Just because you look good in that cut in other dresses doesn’t automatically mean you will look good in that same cut for your wedding gown. The fabric and the color are totally different. Trust your stylist when they tell you that your peg may not look good on you.
  • Change your hair color BEFORE your final fitting as changing your hair color could change your whole look
  • Don’t look down when you have your veil in place. Look straight ahead.

  • For key moments or if something is happening in the program, ask your L&S supplier to use WHITE light. Leave the mood lighting to the tables.
  • Minimize theatrics (smoke, bubbles, butterflies, etc.) Natural is best.
  • Be conscious of the lighting for the church. Natural light is better. Blue light is not flattering on the skin tone
  • It’s usually the Photographer that leads and dictates the shots / poses, the videographers just really capture the moment
  • Consider to actually spend time with your guests and not just hi-hello-bye. Maybe you can do away with the grand entrance and mingle with them during cocktails
  • The Barong/Suit should be custom-fit. It’s obvious if the sleeves are too long or if the coat jacket is too big! (And this is not something they can edit out in videos)

  • If you’re happy with what you see (ex: your make up), be satisfied with it and don’t listen if anyone else says otherwise.
  • Go with timeless look. Don’t go with what’s trending. Make sure that when you look back on your photos you won’t tell yourself “bakit ko nga ba ginawa yan?” 
  • When going for hair pegs, find something that is close to your hair color. Sometimes a hairstyle for a blonde won’t look as good for dark hair
  • If you plan on colouring your hair, please inform both your HMUA and your wedding gown designer. It will greatly affect the whole picture. As Filipinas, we have a yellowish skin tone so baka biglang hindi na siya bagay sa shade of your gown. If kailangan talaga magpakulay, go for highlights instead.
  • Updo! Messy hair under a veil is hard to Photoshop

  • Do your research. Even if other brides are raving about a particular supplier, sometimes if they suddenly get hyped too much and their clients increase dramatically, their ability to deliver might get affected.
  • Get a good coordinator! Walang sinabi ang ganda ng suppliers mo if your coordinator is not professional.
  • BE HONEST with your suppliers. If you’re not happy about something, tell them. They also want you to be happy.
  • Meeting fellow WaWies in person really helps to build the community ‘coz it helps to build credibility and concern for one another when you have actually spent time with them already face to face.

Since being engaged, I have probably read hundreds of wedding tips already from binge-reading The W@W Wedding Primer, browsing through the WaWies Facebook Group and Yahoogroup and scrolling through various blogs and articles, but nothing beats hearing it first-hand from industry experts especially when you feel the passion and sincerity in their voices and gestures.

Harry Potter DIY Wedding

However, the Potterhead in me wouldn’t shut up so six months before the wedding, I told my then fiancé that I can make a “Harry Potter” theme work. So we kept the colors which is “luckily” the colors of Ravenclaw which has been my Hogwarts house forever.

We wanted to stay on budget so I opted to do the Harry Potter elements wedding by myself. I love DIYs and I felt that I can do this.

The invitations were designed by my good friend Arni Santiago and I was the one to print, cut and glue the pieces together. Before we got engaged in 2015, we have attended a few while we were organizing his brother’s wedding in 2010, which is why I can say that we kind of knew what we want for our wedding even before he proposed.

Couples who are planning to wed may scope out the wedding industry by visiting bridal fairs to benchmark how much they should spend for the most necessary supplier down to the littlest detail needed (or wanted) for their big day.

Let’s admit it, some suppliers who are very visible online don’t come cheap, while some suppliers have little to no online presence at all, making it hard for soon-to-weds to see their sample works. Part of the planning process you need to do is to pre-register online. Why? While the door charge on the day of the event is minimal, you are still letting go of your hard-earned money. As I would say in Filipino, “Hindi ka makakabuo ng isang milyon kung kulang ka ng piso,” so save that for your wedding budget and pre-register!

It is also important to know what you need before you go to the fair. Event organizers usually post the list of participating suppliers on their Facebook or webpage. If it’s not posted, you may send them a message on Facebook or e-mail to ask.

If your goal is to scout for hair and make-up artist, have a look at the list of suppliers participating in the bridal fair and research about them. If you are interested to get to know about a particular HMUA, send her a message before the fair and ask for her regular rates, and compare her bridal fair rates to see if the deal’s a catch or not, so you can move on to another supplier.   • Bring your pegs: If you are looking to inquire about invitations, cake, or event stylist fees, it would be best to prepare your pegs so they can give a quote based on your requirements. You may print it or save it on your mobile phone or tablet for easy access.
  • Bring an extra bag: Be it in canvas, paper, chic plastic bag, or an ecobag (because we love Mother Earth), this will help you store the brochures you will be collecting during the bridal fair. Some fair organizers give these away for free or with a minimum purchase, but it won’t hurt if you bring your own. After all, it won’t take too much space in your purse when folded!
  • On brochures: If you have a goal in mind, get only the flyers from suppliers you are interested in transacting business with. If you are looking for photobooth suppliers, concentrate on getting flyers from these businesses. You may refuse suppliers giving out these promotional materials POLITELY, because it takes a great amount of effort and money to produce these, only for you to dispose of it. Don’t worry, it’s okay to say no if you say it in a nice way, and don’t forget to say thank you!

  • Ask for rates: Some suppliers don’t have their price list on their flyers or brochures, and some give additional discounts on top of the promo price, that is if you haggle nicely. If you are reaaaally considering to book the supplier but still need some more time to contemplate or have a chat with your fiancé(e) whether face-to-face or online, have them jot down the deal you are about to close on their available stationery with their logo, or on the promo mat they gave you. Don’t forget to ask for the name of the person you spoke with, and write it on the same paper that he/she wrote on so you can have it as proof that you already transacted with them previously, whether in the event or after the fair.
  • Do the 3 Ts: Track, Talk, Think. Bridal fairs are usually a two-day event, so you usually have two days to do the 3 Ts.
    First, track down your shortlisted supplier. Search for reviews on Google or on Facebook, and sift through the million messages sent on WeddingsAtWork Yahoo Groups or Facebook Groups. If you don’t find any reviews, start a thread and ask your fellow w@wies for supplier reviews. The last two T’s are Talk to your fiancé(e) and Think together and do the pencil pushing and the decision making together.
  • Before booking: As soon as you sit down with your prospective supplier to finalize things, lay down all the cards you have and discuss what you have previously agreed on. At this point, some suppliers may suggest upgrades or say that they will charge this sum for this and that on top of the previously agreed price. Listen to your supplier and read the fine prints carefully before signing the contract and handing them your reservation fee or down payment. If you are not satisfied with this last step, don’t be afraid to back out politely.
  • Book! This is the final stretch of your supplier-hunting sojourn. As with any supplier dealings in and out of bridal fairs, make sure your supplier gets all the details, the production timeline, and your contract and acknowledgement or official receipt with you for filing. Scan and convert your documents to soft copy when you get home so you still have it on digital file in case you lose it. And while we’re at it, PLEASE DO NOT LOSE YOUR RECEIPTS AND CONTRACTS AND HAVE IT IN A SAFE PLACE UNTIL THE WEDDING IS FINISHED, OR UNTIL THE OUTPUT IS DELIVERED!

What are these items?

If you will take time to read every contract you signed, you will see this notation. You can get the headcount from the suppliers, or you can ask your coordinator to handle getting the headcount as well as the meal allowance requirement if you’d rather not provide the actual meals. Please inform your supplier within the week of your wedding if you are providing meal allowances and not actual meals. That way, they can incorporate buying and/or eating out in their schedule/timeline. (In all truth, this is hard to do given the fast pace of preps, but informing the suppliers ahead of time that they will be getting meal allowances on the day helps them prepare — researching for a place to buy that’s nearby, having staff who can take care of meals while the rest are shooting or doing their tasks, etc.

 b) Tips

You are not required to provide meals for waiters since the catering company takes charge of feeding them, but it’s a good idea to provide tips because you’d like to thank them for good service. Think about it: At a restaurant, you give a tip even if the service was just for an hour or two. With these waiters, service starts with the set up, at least 3 hours before the cocktail period, they will be hauling tables, chairs, and other items into your respective venues. Then, they will have to be on their toes for at least 4 hours. If you will have a period for partying, then it can stretch to 6 hours. It’s no joke to avoid sitting down for 7 or more hours straight. What’s the usual amount? For those who are with you during preps or who are working in your venues during preps time, 2 meals are requested — photo and video teams, coordination team, styling team, sound system, etc. For those who are only present during reception like the emcee, the projector provider, the mobile bar staff, etc., only one meal is needed. For the hair and make-up team, it’s best to ask since a lot of them only require one meal while there are others who stay till reception and require 2 meals.

Of course, these are recommendations based on experience and you can be as generous as you feel you can be given the circumstances of your big day.

c) Meeting-related Expenses

 Meetings usually cost the clients because of gas, parking, and toll fees when applicable. The tab for drinks and food usually gets shouldered by the client as well. Thus, having lots of meetings in malls can cost the client a hefty sum. It’s better to avoid having a meeting over every little concern. Instead, determine which problems you can address via email or online calls.

Reserve the meetings for major stuff you need to do, for instance, it’s just a meet and greet, do it online, reserve the face to face meeting for discussing important details. And yes, do your homework, so that your meeting number 1 does not have the same agenda as your meeting number 2 and your meeting number 3. It will cost you more if you keep having meetings but you never do what’s needed from your end. (That’s also the reason why a lot of suppliers have limited number of meetings included in their packages. It is meant to make clients focus and finish their tasks so that they won’t end up cramming.)

d) Cocktail Food Items

Cocktail food items placate guests when they are waiting for the couple to finish their post nuptial shoot and retouch. Thus, the couple will have to spend for this if only to buy time for their pictorial after the ceremony.

e) Accessories & DIYs

Sometimes, designers don’t include in their packages the accessories one will need for the ceremony — the cord, the secondary veil, the pillows, etc. Sometimes as well, there are accessories provided but you’d like to get personalised items. Of course, the expense will add up. Add to the list your hair piece, your jewelry, your groom’s stuff (socks, hanky, tie pin, belt, watch), and both pairs of shoes.[/cs_text][/cs_column][/cs_row][/cs_section][cs_section parallax=”false” style=”margin: 0px;padding: 45px 0px;”][cs_row inner_container=”true” marginless_columns=”false” style=”margin: 0px auto;padding: 0px;”][cs_column fade=”false” fade_animation=”in” fade_animation_offset=”45px” fade_duration=”750″ type=”1/1″ style=”padding: 0px;”][x_image type=”none” src=”http://weddingsatwork.com/wp-content/uploads/2016/08/Budget_Collage4.jpg” alt=”” link=”false” href=”#” title=”” target=”” info=”none” info_place=”top” info_trigger=”hover” info_content=””][/cs_column][/cs_row][/cs_section][cs_section parallax=”false” style=”margin: 0px;padding: 45px 0px;”][cs_row inner_container=”true” marginless_columns=”false” style=”margin: 0px auto;padding: 0px;”][cs_column fade=”false” fade_animation=”in” fade_animation_offset=”45px” fade_duration=”750″ type=”1/1″ style=”padding: 0px;”][cs_text]Some also add personalised items to the registration table, the guest tables, the vip tables, and the like. These are the couples who chose not to hire a stylist and to DIY. Buying stuff to create personalised items will of course entail expenses not only for the items needed but for the transport and food that one will consume while hunting for the necessary items. We can’t quantify but the effort to make the DIY items and the toll they will take on the faces and hands of those who are working might mean trips to the derma. (You never know so better have it here, right?).

I’m sure you can think of other things that can creep up on your budget — among them are extra alcohol (beer, hard drinks), gifts for principal sponsors (if you didn’t hire a supplier to provide these), extra food for extra guests who decided to come last minute, and fees for extra hours in the venue, for the bridal car, for the sound system in case things don’t happen as planned in the timeline.

Bottomline: Have extra money prepared for your big day. Do not max out your savings and what you expect to get from your job and your gift-givers.
